Make it a standard procedure in your office to always ask for a phone number AND an email address. Ask people to verify those two pieces of information every time they come to your office.

Many offices have found success with contests. Ask your past contacts to update their contact information and automatically enter a drawing to win a prize. Ask them to come to your web site to update the information (this drives them to your web site, where they can learn more about you). Showcase the winner of the prize in your newsletter.

There are two major tasks that have to be done in order to get your first campaign underway. The first is uploading your data base with contact information. You will extract your contacts from your practice management software to Excel; we will then upload your contacts into Blue Orchid. The second task is putting together the letters or e-mails in your campaign. You can do this on your own or we can provide you with campaigns that we have already written – it’s up to you. Generally, you can be up and running in two weeks or less.

Yes, we do. We have a library of templates geared toward doctors and lawyers. You can start with these templates and modify them to make them your own. We are constantly building and expanding our library to meet your needs.

It enables you to reach people who have expressed an interest in the information you are giving them and influences them to choose you as the solution to their problem. Most importantly, you stay with them until they are ready to make up their mind. Drip campaigns are essential to building customer loyalty and to creating top of mind recognition with prospects.

7. I’m not seeing an increase in my number of new patients since I started my marketing campaign. It’s been over a month … what’s wrong?

A drip campaign is a series of emails, letters or postcards you send to your prospective patient or client over a scheduled period of time. We recommend a drip campaign contain AT LEAST six communications or touches–and more is WAY better than less.

Here’s what you need to know about a drip campaign. The reason it works is because you are talking to your prospective new client or patient by mail over an extended period of time. Not everyone is ready to come into your office right away. By keeping in touch with them, you increase the odds that when they ARE ready, they’ll come to you.

You should expect to see results after three months. You should also expect to see your conversion rate grow over time for the very reason mentioned … people need time to think about your service and make the decision to come in. Expect your conversion rate after 6 months to be higher than at 3 months; expect your conversion rate after 12 months to be higher than at 6 months.

In other words … adjust your expectations. Don’t expect a high percentage of people to pick up the phone and make an appointment after just one or two mailings from you. The magic of the drip campaign is that it works over time. Your name and service percolates in the receiver’s mind until he is ready to make a call. Be patient. You’ve done everything right. Now have faith and hang in there for a few more months … you’ll see that it works for you, too!
